Local Welcome


Who they are


Local Welcome is a startup charity that runs meals where local people and refugees come together for two hours to cook recipes, eat lunch, and wash up. In a divided world, making the time to connect with someone different from yourself is a radical act. We use the magic of food to bring people together, connect and share their stories. You start cooking as strangers, but you’ll end up eating as friends. Local Welcome has groups in 8 locations around the UK and is rapidly scaling up in the next two years. When it reaches 80 groups the organisation will be self-funding as the local people pay to be part of the experience as well as giving their time.


What they need


Local Welcome needs custom software to support their monthly process of assigning local leaders to lead meals in all locations. This is a manual process which is taking up more and more time each month as they grow. The steps in the process are:

  • Capture availability of venues and leaders for all weekends in a month
  • Match leaders to dates and agree a final list of dates for meals
  • Set up meals in Eventbrite, Hubspot, Google Calendar and Notion
  • Add leaders to meals and send calendar invites Remind leaders in the week before the meal.
Local Welcome expects this software to work with an existing digital infrastructure that uses Hubspot, Stripe, Eventbrite, Google Calendar, Google Drive, and Sakari. They use Zapier to link these products together with trigger-based workflows.

The code for this does not need to last forever. It doesn’t matter what language or approach is used as long as it’s well-documented and easy to maintain in future. Local Welcome is growing and iterating rapidly so they expect to revisit this process again in a year when they’ve reached a size where they hire a technical lead.
